Migrating from Google Workspace to Microsoft 365
We move a whole domain from Google Workspace to Microsoft 365 without collecting users' passwords: the administrator grants access once, and Loomigrate copies the data in the background. Before you decide you can check the first 200 items from 3 mailboxes for free.
Before you start
- In Microsoft 365 add your domain (during the migration you can use the
*.onmicrosoft.comdomain) and create users with licenses. - On the Google side you need a super administrator account. Loomigrate uses domain-wide delegation (a service account), so you do not need users' passwords. The instructions are in the help inside the panel.
- On the Microsoft side you grant organization-wide access through a registered application (Entra ID), also without passwords.
- List what you are moving: mail, calendars, contacts, Google Drive (to OneDrive) and shared drives. You pick each of these modules separately in the wizard.
- A day earlier lower the TTL of your MX records to 300 seconds.
Step by step in Loomigrate
- Create an account on loomigrate.com and open the "New migration" wizard. Choose "Google Workspace (whole domain)" as the source and "Microsoft 365 (whole organization)" as the destination.
- Provide the Google service account and the Microsoft application details. The wizard tells you where to find them in the admin consoles.
- Fetch the list of users from the domain and match source mailboxes to destination ones. Identical addresses are matched automatically, renamed ones you fix by hand.
- Click "Test connections", then run the "Free test" on a few mailboxes (up to 200 items from each).
- Mail is one project. Calendars, contacts and files you add as separate projects in the same wizard, by choosing the module at the start.
- Start the full migration. Progress is live, and interrupted tasks can be resumed.
What to watch out for
- Gmail labels appear over IMAP as folders. A message with several labels can end up in several folders, so counts on the two sides may differ. The verification report shows whether anything is missing on the destination.
- Google Meet, Chat and Google Groups (mailing lists) are not part of the mail migration. Recreate groups in Microsoft 365 by hand.
- Permissions on Google shared drives and documents have no 1:1 equivalent in SharePoint and OneDrive. Check them after the files migration.
- After granting permissions in the Google console, changes can take a few minutes to become visible. If the connection test fails right away, wait a moment and try again.
The mail switch and final steps
- Run a last sync right before the change.
- In DNS replace the Google MX records (
aspmx.l.google.comand the others) with the single record from the Microsoft 365 admin center. - In SPF replace
include:_spf.google.comwithinclude:spf.protection.outlook.com, and add Microsoft's DKIM records andautodiscover. - Update users' Outlook, phones and meeting invitations.
- For 30 days after completion you can re-run the sync free of charge. Cancel the Google subscription only after you have checked that nothing is missing.
What it costs
A mailbox (mail, calendar and contacts together) costs €10 net, a personal drive €3, a shared drive €19, a Teams team €28. A volume discount applies from 50 accounts in a project.
Frequently asked questions
Do users have to provide their passwords?
No. The domain administrator grants access once, and Loomigrate works on behalf of users without their passwords.
Can I test on one user first?
Yes. The free test covers up to 3 mailboxes or drives per Loomigrate account and moves up to 200 items from each.
What about Google Drive?
You move files as a separate project (the "Files" module) to OneDrive. Shared drives have their own module.
