Migrating from Microsoft 365 to Google Workspace
We move mailboxes, calendars, contacts and files from Microsoft 365 to Google Workspace without collecting passwords: the administrators on both sides grant access, and Loomigrate copies the data in the background. You can check the first 200 items from 3 mailboxes for free.
Before you start
- In Google Workspace add and verify your domain (during the migration you can start with an auxiliary domain) and create users with licenses.
- On the Microsoft side you need an administrator who registers an application (Entra ID) with access to mailboxes and approves the permissions. The wizard tells you which ones.
- On the Google side a super administrator enables domain-wide delegation for the service account. The instructions are in the help inside the panel.
- List what you are moving: mail, calendars, contacts, OneDrive (to Google Drive) and SharePoint libraries (to shared drives). You pick the modules separately in the wizard.
- A day earlier lower the TTL of your MX records to 300 seconds.
Step by step in Loomigrate
- Create an account on loomigrate.com and open the "New migration" wizard. Choose "Microsoft 365 (whole organization)" as the source and "Google Workspace (whole domain)" as the destination.
- Provide the Microsoft application and Google service account details. The wizard tells you where to find them.
- Fetch the list of users and match source mailboxes to destination ones. Identical addresses link automatically, renamed ones you fix by hand.
- Click "Test connections", then run the "Free test" on a few mailboxes (up to 200 items from each).
- Mail is one project. Calendars, contacts and files you add as separate projects in the same wizard.
- Start the full migration. Progress is live, and interrupted tasks can be resumed.
What to watch out for
- Outlook color categories have no direct equivalent in Gmail. Folders become labels, and the subfolder structure is preserved.
- Shared mailboxes, public folders and Teams chats are not part of the mail migration. Recreate shared mailboxes in Google as groups or delegated accounts.
- Google limits the daily data transfer through its mail interfaces. Very large mailboxes can take several days, but a task has no time limit and resumes where it stopped.
- Teams meeting links in old invitations remain in the calendar, but new meetings will use Google Meet.
The mail switch and final steps
- Run a last sync right before the change.
- In DNS replace the Microsoft MX record with the records from the Google admin console (for example
smtp.google.com). - In SPF replace
include:spf.protection.outlook.comwithinclude:_spf.google.com. Generate a DKIM key in the Google console (Gmail → Authenticate email) and add the TXT record. Remove theautodiscoverrecord. - Update users' mail apps and phones to Gmail.
- For 30 days after completion you can re-run the sync free of charge. Cancel the Microsoft 365 subscription only after you have checked that nothing is missing.
What it costs
A mailbox (mail, calendar and contacts together) costs €10 net, a personal drive €3, a shared drive €19. A volume discount applies from 50 accounts in a project.
Frequently asked questions
Do users have to provide their passwords?
No. The administrators on both sides grant access once, and Loomigrate works on behalf of users without their passwords.
Can I migrate in stages?
Yes. You can migrate in groups of users and re-run syncs for 30 days after completion, until the mail switch.
What about OneDrive and SharePoint?
You move files as a separate project (the "Files" or "Team files" module) to Google Drive and shared drives.
