Move mail from home.pl, nazwa.pl, OVH or any IMAP server to Microsoft 365
We move mailboxes from any IMAP server to Microsoft 365 without downtime: the mail is copied first, and you switch the DNS records only at the end. You can test the first 200 items from 3 mailboxes for free.
Before you start
- In the Microsoft 365 admin center add your domain and create users with Exchange Online licenses, so the destination mailboxes exist.
- Collect the source details: the IMAP server name, port 993 with SSL, and the login and password of every mailbox (with most hosts the login is the full e-mail address).
- Check that IMAP access is enabled in your hosting panel and does not block unknown addresses. Loomigrate always connects from one fixed IP address:
85.89.161.251. - A day earlier lower the TTL of your MX records to 300 seconds, so the mail switch at the end takes effect within minutes.
Step by step in Loomigrate
- Create an account on loomigrate.com and open the "New migration" wizard.
- Choose "Own IMAP server" as the source system and enter the server and port. Choose Microsoft 365 as the destination.
- Add the mailboxes: paste a list (source login, destination login and passwords) or use the CSV import.
- Click "Test connections". Mailboxes with an error can be corrected with the "Fix credentials" button.
- Run the "Free test" first: it moves up to 200 items from each of 3 mailboxes and lets you check folders, dates and special characters.
- When the result works for you, switch to the full migration. Progress is live, and an interrupted migration resumes without copying from scratch.
What to watch out for
- "Sent", "Trash" and "Drafts" have different names on different servers. Loomigrate maps them to the standard Microsoft 365 folders, but it is worth checking the test result.
- IMAP mail does not contain calendars or contacts. If they were on the server (CalDAV/CardDAV), move them with a separate task or export them from the mail client.
- Aliases, forwards and mail rules must be recreated in Microsoft 365 by hand, because they are not part of the mailbox.
- Very large attachments can exceed the message size limit in Exchange Online. Such messages show up in the report as failures to review.
The mail switch and final steps
- Run a last sync right before the change to catch up with new messages.
- In your domain's DNS change the MX record to the address shown in the Microsoft 365 admin center (it looks like
your-domain-com.mail.protection.outlook.com). - Update the SPF record (
include:spf.protection.outlook.com), add the DKIM records (two CNAME entries,selector1andselector2) andautodiscover(a CNAME toautodiscover.outlook.com). - Set up Outlook and users' phones for Microsoft 365 and check the migration report.
- For 30 days after completion you can re-run the sync free of charge. Keep the old mailbox until you are sure nothing is missing.
What it costs
A mailbox costs €10 net, regardless of the number of messages (up to 100 GB), with a volume discount from 50 mailboxes. The free test costs nothing.
Frequently asked questions
Will users notice a gap in their mail?
Not if you keep the order: copy the mail first, then change the MX. Messages that arrive at the moment of the switch land on the old or the new server, and the final sync moves the rest.
Are users' passwords safe?
Access credentials are encrypted in the database and message content is not stored permanently. Details are in the privacy policy.
How long does a migration take?
It depends on mailbox size and the source server's limits. A task has no time limit, and large accounts can be resumed.
